A travel agency juggles customers, airlines, hotels, visa agents and transporters, each with money owed one way or the other. Here is how travel agency software keeps every booking, visa and seat in one file.
Ask a travel agent where things go wrong and you will hear the same answers: a passport nobody can find, a visa status nobody updated, a supplier paid twice, a group member with no mahram discovered at the last minute. Travel agency software is built around fixing exactly these.
One numbered file per booking
Every booking should be a numbered file that moves from quote to confirmed, ticketed and completed. Customers are found by name, phone, CNIC or passport, and the file holds services, payments and documents together. Sub-agent bookings show the agent's commission percentage.
Umrah and Hajj groups
Group work needs members, passports and each member's mahram, with women without a mahram flagged early. One booking file covers the whole group, and seats are sold against each package's quota, so you never sell more than you have.
A visa tracker
Each visa should move through clear stages: documents received, submitted, approved or rejected, and delivered. Search by name, file or country, and see at a glance whose passports are in your office.
GDS fare search, PNRs and ticket files
If you have Sabre, Amadeus or Travelport (Galileo) access, linking it lets you search fares, hold a PNR or import one by record locator, and turn it into a booking file with fares, taxes, commission and BSP cost. Ticket files (AIR for Amadeus, MIR for Galileo, IUR for Sabre) can be imported with duplicate protection. In Hayat the files themselves are not kept, because they contain passport data.
Suppliers and the ledger
Airlines, hotels, visa agents, tour operators, transporters and sub-agents should each have a ledger showing what you owe, bills, payments and refunds. This is where double payments are caught.
Bus trips, seats and charters
Transporters need the week's departures with a seat map: pick seats, sell with a discount reason or promo code, print, mark departed and arrived, and record expenses such as fuel and tolls. Vehicles can also be hired out as charters.
Profit per booking
The most useful report is profit per booking, alongside sales, receivables, payables and transport results for any period. It shows which packages and routes actually make money.
On the phone
The Hayat Travel app has Today, Bookings, Visas, Trips and Customers tabs, so staff can take payments, sell seats on the bus and check visa status away from the desk. Customers can also be sent a payment link by SMS, WhatsApp or email.

Frequently asked questions
Can travel agency software manage Umrah groups?
Yes. Hayat keeps group members, passports and each member's mahram, flags women without a mahram, creates one booking file for the group and sells seats against each package's quota.
Does it connect to Sabre, Amadeus or Galileo?
Yes, if your agency has access. You can search fares, hold or import PNRs, and import AIR, MIR and IUR ticket files into booking files.
